Instructions for a gathering

How do you handle distributing instructions for a gathering that contain explicit information needed for parking, directions, etc., to the friends (100 people)? (Complicated instructions that cannot be remembered or relayed via "word of mouth".)

Thanks Rachael. I have emailed as many as possible. (I'm not really concerned about the 2nd part of your answer (although it is good advice if that were the case) - my question is specific to how you get written information to the friends. I have heard some say they give it to their Group Overseers to distribute as long as it doesn't mention being a congregation sponsored event.

In our congregation, the sisters will place information like that in a sealed envelope with the recipients name on the outside. Then they are discreetly handed out at the Hall to each one to open later, after the meeting.

That's how it's usually done here also,I don't know if there's anything wrong with that.

Thank you dear sisters for your help. I really appreciate it. I took your suggestions to the elders and they were fine with that - as long as it did not state that it was an event that was sponsored by the congregation (which of course, it did not). I've known others who did it that way in a different congregation and it went sour. But it was because it mentioned the congregation. So I wasn't sure if it was OK to do it that way. Thanks again for re-assuring me!
