Converting 'In Person' to letter writing territory

I'm looking for a bit of insight into the letter writing territory function in NW Scheduler...

 

I've just tried out the NW Scheduler feature that allows an 'In Person' territory to automatically spawn a letter writing territory for those calls marked as 'not home' and left in the territory when it is marked as completed. I did NOT create a specific Territory Category for letter writing. When I used the function 'Convert addresses to letter writing', it did generate a new territory with a suffix of 'LW'. What I don't understand, is that I am now unable to find this territory in my system. When I display the entire list of 'All categories' for territory types, it doesn't appear in the list. The only way I can seem to locate the LW territory is by filtering my territory list by the name of the publisher to whom I assigned it! 

 

Does anybody have any further insight into using this feature of NW Scheduler? The help files online don't seem to address this. Many thanks for replies in advance!

I can think of 2 ways to find it.

  1. It will automatically appear in the list near the source territory. Example: House-House terr # 307. Process creates new territory 307-LW. This would appear below 307 in list. HINT: you may have to leave 'TERRITORY' section and return to refresh the list.
  2. You can filter by Territory type. This is based on NWS types, not your categories. See pic.

How does this work? 

I've marked apartments as not at home but I don't see it convert to letter writing automatically.

Well - it is actually more of a semi-automatic thing - you have to trigger it! After territory is completed, but before you "reset" it, click the button (looks like envelope) to initiate the procedure. This selects out all the Not-Home addresses (including apartments) and creates a NEW territory with same number + suffix "LW".

Thanks so much for this.

 

So then I can assign it to the group overseers and or those requesting LW territory from their group's assigned territory.

 

Once this LW territory is completed, does it disappear so I can repeat the process?

Well, not exactly. If you assign it out to Brother "None", then only the territory servant can mark it completed. So I simply monitor the LW territories (the list shows the % completed). Once all the addresses have been used up, then I mark it "Completed." Of course, if you assigned it to a publisher or a group, you wait until they mark it "Completed". But now you have to decide what to do next.

 

1- If the LW territory came from an in-person territory, then it is best simply to delete it. This is the normal situation, and how NWS expects you to proceed. Makes sense - the next time that same in-person territory is worked, the NH list will be different. So no need to keep the one just completed.

 

2- there is a usage where a LW territory might be re-cycled. We do that for certain distant rural territories. For special campaigns we issue the entire territory as if it were a LW territory. After all the addresses are used, we need to reset it. Trouble is- there is no built-in way to return all the addresses to normal. Only way I know is to export to spreadsheet, change status, re-import.
